Privacy Policy
Effective and last updated: October 1, 2026
The short version: our bots only process what they need to work. We don't store voice recordings, we don't sell personal information, and members can ask Jarvis to forget what it remembers about them at any time.
1. Who we are
Trust Bots is a service of Trust Contracting Solutions LLC, a Michigan limited liability company based in Dearborn, Michigan ("we," "us," "our"). We build, set up, host and maintain Discord bots, including Jarvis, Guardian, Noor, Sentinel, Kitsune, Petal and future bots in our catalog (together, the "Bots").
2. What this policy covers
This policy explains how we handle information when you:
- visit our website;
- buy a plan or contact us as a server owner or administrator ("Customer"); or
- use or are present in a Discord server where our Bots are installed ("Member").
Discord's own handling of your information is governed by Discord's privacy policy, not this one.
3. Information we collect
From Customers
- Contact and account details: name, email address, Discord username and user ID, and the server name and ID you want the Bots installed in.
- Setup details: roles, channels, rules, banned-word lists, the Bots, credits and add-ons you choose, city for prayer times, and notes from setup calls.
- Billing details: payments are handled by Stripe. We receive your plan, payment status, billing email and partial card details (such as the last four digits). We never see or store full card numbers.
- Your account: so you can see your plan at trustbots.tech/account, we keep a record of each order (the bots, credits and add-ons you chose, billing period, price, Discord server name and username you entered, and Stripe's customer and subscription references) along with its billing status from Stripe. When you ask to sign in, we email a one-time link to the address you paid with.
From Members, through the Bots
- Discord identifiers: user IDs, usernames, display names, roles and which channels you're in.
- Message content: Guardian reads messages in the channels it's allowed to see to check for banned words and spam. Messages that break a rule are logged with a short excerpt, and a strike record is saved. Other messages are checked and not stored.
- Commands and questions: what you ask a Bot and its reply, so it can answer you.
- Memory (Jarvis, when turned on by the server): conversation logs, daily summaries, and facts you or server admins ask Jarvis to remember.
- Voice: see Voice data below.
- Security checks (Sentinel): when you join a server, your account's creation date, avatar and name are checked to spot likely raid or spam accounts, and joins, verification results and staff actions are logged for the server's staff.
- Anime features (Kitsune): the shows you follow or add to a watchlist, your quiz points, cards and coins, and your public AniList username if you link it. Show data and reaction GIFs come from AniList and nekos.best; an ask: recommendation sends your request to an AI provider.
- Birthdays (Petal): the month and day of your birthday if you set one (never the year), the Animal Crossing villager you were matched with, and whether you signed up for birthday alerts. On your birthday Petal posts in the server, may send you a direct message, and renames the server's party voice channel after you for the day. Villager data comes from Nookipedia; nothing about you is sent there.
- Gaming (Arena, coming soon): group posts you create or join, tournament sign-ups, match results and your win/loss record in that server.
From website visitors
- Our server keeps standard logs such as IP address, browser type and pages requested, for security and reliability.
- We don't use advertising or tracking cookies. Your plan-builder selections are saved only in your own browser. If you sign in to your account, we set one cookie that keeps you signed in for up to 14 days; signing out removes it. Stripe's checkout pages may set their own cookies to process payments and prevent fraud.
4. Voice data
- Jarvis listens in voice channels for its wake word. After it hears its name, the speech that follows is sent to a speech-to-text provider so Jarvis can understand and respond. Replies are turned into speech by a text-to-speech provider.
- Guardian voice monitoring, when a server turns it on, converts speech in selected voice channels to text to check for banned words, and may warn, mute or disconnect a speaker.
- Scribe (coming soon) joins voice channels a server has chosen for notes, announces itself in the channel's chat and out loud, and converts what's said to text. The transcript is sent to an AI provider to write a summary, decisions and action items, which are posted in the server. Members can run /scribe optout to never be transcribed. Scribe transcripts are deleted after 30 days, or sooner when a server admin deletes them. Notes already posted stay in the server until someone deletes the message.
- We do not store audio recordings. Audio is processed in real time and discarded. Text transcripts may appear in bot logs, which are deleted after 30 days, and in strike records when a rule is broken.
5. How we use information
- To run the Bots: answering questions, moderating, protecting servers from raids, playing adhan, posting reminders, celebrating birthdays, writing call notes, running groups and tournaments, and remembering what members ask Jarvis to remember.
- To set up, host, monitor and fix the service, and to send Customers check-up reports.
- To track AI credit usage and apply plan limits.
- To bill Customers, provide support and send service messages.
- To keep the service secure, prevent abuse and follow the law.
We do not sell or rent personal information, we do not share it for cross-context behavioral advertising, and we do not use your server's content to train our own AI models.
6. Who we share it with
We share information only with service providers that help us run Trust Bots, and only what they need:
| Provider | What for |
|---|---|
| Discord | The platform the Bots run on |
| OpenAI, Anthropic, xAI | Understanding speech and questions, and writing replies |
| ElevenLabs, OpenAI | Turning replies into speech |
| AniList, nekos.best | Anime data and reaction GIFs for Kitsune (no personal information is sent beyond the titles you look up) |
| Nookipedia | Animal Crossing villager names, birthdays and artwork for Petal (no personal information is sent) |
| Stripe | Payments, subscriptions and billing portal |
| Hostinger | The server that runs the Bots, this website and checkout, and stores their data |
| Proton | Support email |
Each provider handles data under its own terms and privacy policy.
We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger, sale or reorganization of our business, in which case this policy will continue to apply.
7. How long we keep it
| Information | Kept for |
|---|---|
| Voice audio | Not stored |
| Bot activity logs, including transcripts | 30 days |
| Scribe call transcripts | 30 days, or until a server admin deletes them |
| Sentinel join and verification logs | For the subscription, then 30 days |
| Kitsune follows, watchlists, cards and quiz scores | For the subscription, then 30 days |
| Petal birthdays and villager matches | Until the member removes theirs with /birthday remove, or 30 days after the subscription ends |
| Arena groups, brackets and stats | Finished groups and tournaments: up to 30 days. Win/loss records: for the subscription, then 30 days |
| Guardian strike records | Until a server admin clears them, or 12 months after the last strike |
| Jarvis memory | Until the member or an admin deletes it, or 30 days after the subscription ends |
| Server settings and setup notes | For the subscription, then 30 days |
| Billing and tax records | As long as tax law requires, generally 7 years |
8. Your choices and rights
- Members: use /memory to see what Jarvis remembers about you and /forget to delete it. Use /scribe optout to be left out of call notes. You can also leave voice channels where Bots are active or ask the server's admins about their settings.
- Everyone: email us to ask for a copy of your information, a correction or deletion. We'll respond within 30 days. We may need to verify your identity, and we may keep records the law requires.
- Customers: you can remove the Bots from your server at any time. After cancellation, we delete your server's Bot data as described above.
- State privacy rights: depending on where you live, including California and other U.S. states, you may have additional rights to know, access, correct or delete personal information, and to not be treated differently for using them. Email us to use them. You may use an authorized agent.
9. Server owner responsibilities
Customers decide which Bots and features are active in their servers. Customers must tell their members that Bots may read messages and, if voice features or voice monitoring are on, listen to and transcribe speech. We provide a notice Customers can post in their rules channel.
10. Security
We use reasonable safeguards, including encrypted connections, restricted access, encrypted storage for secrets, hardened servers and least-privilege bot permissions. No system is perfectly secure. If a breach affects your information, we'll notify you as required by law.
11. Children
Discord requires users to be at least 13 (or older where local law requires). Our service is not directed to children under 13, and we don't knowingly collect their information. If you believe a child under 13 has given us information, email us and we'll delete it.
12. Location of processing
We're based in the United States, and our providers may process information in the U.S. and other countries. By using the service, you understand your information may be processed outside your country.
13. Changes to this policy
We may update this policy. We'll change the date at the top, and for significant changes we'll notify Customers by email at least 14 days before they take effect.
